Some of the best-run jobs we get are the ones where the customer writes it all down first. One came to us in October like that: an email with the contents typed out item by item, no photographs at that stage, just a list. Two canisters of paint, three window blinds, two bags of metal light fittings, an electric iron, a toaster, a Sky TV router, a fifteen-inch monitor, twenty-five bathroom tiles, fifteen IKEA cardboard boxes flattened, a wooden armchair with its cushion, already dismantled. Ten bags of plastic bottles and paper. Then a second message adding an inkjet printer, and later again a single mattress, a PC unit and monitor, a floor-standing fan, four wooden chairs taken apart, and what he called miscellaneous electrical.
The first thing we asked back was not about the items at all. It was whether the whole lot was standing on the ground floor, or up in a flat with stairs. That one answer decides how many men come and how long the day runs, and it is the question people most often forget to answer. He came back straight away and said he would sort it himself: "I will bring everything to the ground floor in advance if i can be called in advance."
That is a fair trade and we take it whenever it is offered. If somebody is willing to bring the load down to the door, we will ring ahead so they are not carrying boxes about for nothing.
We then asked for photographs of everything together, which is how we estimate the size of the load rather than guessing from a list. A bag of paper and a bag of tiles read the same on paper and weigh nothing like the same in the van. The pictures came over. He picked his day, a Monday at the end of the month, and said a small lorry would be enough, which it was. The one condition he set was about the street:
"As it is a busy street, with a number of schools in the area, it would be best if collection took place between 10:00 and 14:00 hours."
So the job went in for that Monday inside his window, after the school run and finished before the next one. Nothing exotic about the contents. What made it run smoothly was that everything anyone needed to know was written down before the van left the yard. The timing was set by somebody who actually knew what the street was like at nine in the morning. Two tins of paint on that list, incidentally, are exactly the sort of thing worth flagging when you book. Liquid paint is not a van item, and it is better said on the phone than discovered on the doorstep.

It means telling us in advance so we send the right number of men. Bungalows out at Culloden and Smithton are usually straightforward — driveway, side gate, done. Farmhouses and croft houses out towards Beauly or Dingwall bring their own problems. A track soft enough to bog a loaded van, an outbuilding with no light, a garage the door hasn't opened on since the nineties.
None of that stops the job. It just needs saying on the phone, because it changes how we load and how long the day runs. Winter adds its own arithmetic. A clearance booked for January in Strathspey or up the Caithness coast depends on the A9 and the A836 being open. If the forecast is bad we would rather move you to the Thursday than have three men and a full Luton stuck at Drumochter.
Anything that still has use in it we'd rather see going back out through a local charity shop or a reuse project than getting tipped. Furniture in decent order, tools, unopened kitchenware, sometimes a mattress still in its wrapping. What can't be reused goes to a licensed site and is booked in properly under our waste carrier licence, CBDU419679. A few categories travel separately. Fridges and freezers have to be degassed, so they go off on their own route rather than into the general load. Sofas, armchairs and padded dining chairs fall under the POPs rules now, meaning upholstered items can't be mixed into general waste and go for incineration on their own route. That's why a three-piece suite is kept apart on the van rather than disappearing into the middle of the load.
